Mail settings in Outlook

To enter the mail settings menu, you need to open the "File" menu, which is located in the upper left corner of the program window.

After opening the "File" menu, go to the "Information" section. Having opened this menu, left-click on the "Account Settings" section and select the same section in the drop-down menu.

After you have selected the item "Account Settings" a window will open in front of you, in which to create an additional mailbox you need to go to the "E-mail" tab, and then select the "Create" button.

If you need to change the settings of a previously registered mail, to do this, select the required mailbox from the list and click "Change".

After clicking on the "Create" button, the registration window will open, further steps will be exactly the same as described above.

The "Default" button will help you define the main box. By marking the desired mailbox with this button, you will set this mail as a standard one for writing and sending letters.

In order to delete a mailbox registered in the program, you need to select the desired one and press the "Delete" button. After doing this, the mailbox will be removed from the Outlook client, but not from the servers of your mail service, so in the future you can connect it again.

When you delete a mailbox from the list of Outlook e-mails, the mailbox file remains in which all letters are saved, therefore, to completely delete all information from your computer, you need to go to the "Data files" tab and delete the required file from there.

Interface

The interface of the Outlook mail client is quite simple and intuitive, it is also similar to the interfaces of the bazaar versions of mail clients. Now we will describe the main components of the interface and its capabilities.

Let's start with the panel on the left side of the window. At the bottom of it there are 4 icons that will open you "Mail", "Calendar", "Contacts" and "Notes". The main section is mail, when you select the next section, its interface will open.

Above are the lists of the main sections with divided folders for the convenience of working with mail. The first list is "Favorites", in which you can view the general mail folder for all connected mailboxes. This list can be collapsed if necessary.

Below the Favorites list is a list of Outlook Data File folders. Initially, all folders contained in it should be empty. Messages from all connected mailboxes will be duplicated there, but only fresh ones: those messages that were in the mailbox before it was registered with the system in Outlook will not be included in this list. If you want to move old messages to this list, you can do it manually.

Below there will be sections with folders of incoming and outgoing letters of all other connected e-mail boxes. All sent and received messages will be stored in Outlook data files.

When you select one of the folders from the left panel, the entire contents of this folder will be displayed to the right of it, namely the list of messages. The sizes of such panels can be changed, for this it will be enough to hover the cursor over the border and hold down the left mouse button and move it to the required distance.

When you select an email from the center pane, you can display its contents in the pane on the right. Here you will see full details as well as the body of the email.

In order for you to be able to read all incoming letters from all mailboxes at once, you should put all folders with incoming messages in the "Favorites" list. So you don't have to look through each inbox for each mailbox separately, all letters will come to one folder. To do this, you need to right-click on the desired folder and select "Show in favorites" in the drop-down menu.

If you need to duplicate all old messages located in different folders of different mailboxes in order to read all these messages in one large list. To do this, you need to select the folder from which you want to duplicate messages, then select any message or press the key combination Ctrl + A to select all letters. After highlighting the necessary letters, right-click on any of the selected ones and in the drop-down menu click on the item "Move", then "Copy to folder ...". After these actions, a window will open in which you need to select the folder corresponding to the type of messages and click OK.

Basic Outlook Tools and Features

In this section, we will take a closer look at the main features of the Outlook mail client for which it was designed.

Creating and sending letters

In order to send a letter, you must click the "Create message" button, which is located in the upper left corner of the window in the "Home" tab. Do not forget that letters will be sent on behalf of the mailbox that is selected by default in the account settings.

In the window that opens for creating a letter, everything is quite simple, fill in the fields and write the desired letter. To attach files, you can either drag x into this window, or use the "Attach file" button

Deleting and restoring emails

Messages are deleted in the same way for all mailbox folders. To delete a letter, right-click on it and select the "Delete" item in the drop-down menu, or you can select the desired letter and press the Delete button.

All such messages will not be deleted immediately, at first they will be placed in the "Deleted Items" folder and then, after the expiration of time, they themselves will be irretrievably deleted. This is done so that you do not accidentally lose important information.

To recover a previously deleted letter, do the following: click on the "Deleted Items" folder and the letter you want to recover, right-click on it and select "Move" and "Other folder ..." in the drop-down menu. After that, a window with a list of folders will open, select the one you need and click "OK". After that, look for your recovered email in the selected folder.

Error while deleting the letter

In the event that an error occurs during uninstallation, you should do some actions. First you need to clear the "Deleted Items" folder, right-click on it and select "Clear Deleted Items". When cleaning this folder, a window will appear with two options for deleting, you need to perform each option in turn.

If after the actions taken, the error has not disappeared and the letter still cannot be deleted, then right-click on the problem message and select "Move", then "Other folder ...". In the window that opens with a list of folders, select any from the list and click "OK". After that, restart the program and try again to delete this message, which is already located in the new folder.

Updating mail

In order to update the mailbox and receive or send letters, open the "Sending and receiving" tab, then click on the "Send and receive mail - all folders" button. After that, the program will connect to the servers to receive incoming letters and send outgoing ones. If you need to update only one mailbox, to do this, select the required mailbox and in the same tab, click the "Update folder" button.

Additional features

The Outlook mail client provides the maximum capabilities for the convenience of working with a large number of mailboxes. One of the features you need is to create your own folder hierarchy for the mailbox, you can add your own folders and send letters to them for easy sorting. This function is not present in all similar programs.

Create folders

To create a folder, right-click on the mailbox in which you need to create an additional folder, then select "Create folder ..." in the drop-down list, after that your folder will appear in the hierarchy, then you will need to enter a name for it. To change the order of the folders, you just have to hold down the desired folder with the left mouse button and drag it to the desired location.

Create tasks

The task creation function is also very useful. You will be able to create a task in the task list, set due dates, importance and reminder. After that, you will be able to constantly keep abreast of important tasks and complete them on time.

Create meeting

Using this feature, you can schedule a meeting of employees by notifying them by mail. In the event that everyone who receives this notification is using the Outlook mail client, they will be able to automatically mark the date of the meeting in their calendar.

To create a meeting, you need to go to the "Calendar" section, which is located in the lower left corner and select "Create meeting" in the top menu, after which a window will open in which you can create a list of meeting participants, set the time limit and date of the meeting. For security reasons, many users often change their password to their account, and some perform the recovery procedure because they have lost their login information. In any case, when you change the password in the mail service account, you must also change it, and in the corresponding account in Microsoft Outlook 2010.

In addition, in the settings you can enable or disable remembering the password (enabled by default), and secure password verification (disabled by default).

When all the changes and settings have been made, click on the "Account verification" button.

Data is exchanged with the mail server, and the settings made are synchronized.

Other settings

In addition, there are a number of additional settings. In order to go to them, click on the "Other settings" button in the same account settings window.

In the General tab of Advanced Settings, you can enter a name for account links, organization information, and a reply address.

The "Outgoing mail server" tab contains settings for logging into this server. They can be similar to those for the incoming mail server, the server can be logged in before sending, or a separate username and password can be allocated for it. It also indicates whether the SMTP server requires authentication.

In the "Connection" tab, the type of connection is selected: via a local network, a telephone line (in this case, you need to specify the path to the modem), or via a dialer.

The "Advanced" tab contains the port numbers of POP3 and SMTP servers, the server timeout, and the type of encrypted connection. It also indicates whether copies of messages should be stored on the server, and how long they should be stored. After all the necessary additional settings have been entered, click on the "OK" button.

Returning to the main window of account settings, in order for the changes to take effect, click on the "Next" or "Account verification" button.

As you can see, accounts in Microsoft Outlook 2010 are divided into two types: basic and others. The introduction of the first of them is mandatory for any type of connection, but other settings are changed relative to the default ones only if required by a specific email service provider.

Go to the outgoing mail server tab and mark everything as in the next picture.

On the "Additional" tab, note in the "delivery" field that we need to leave copies of letters on the mail server. This will prevent e-mails from being deleted when they are downloaded to your computer.
You can also check the box to enable the function of deleting letters from the server when emptying the trash in Outlook.


Click "OK" and return to the account settings window. It remains to check the correctness of the settings. To do this, press the button "Account verification". If everything is done correctly, you will see the same window as in the next picture.


If the test is successful, press the "Next" button, and then "Finish".

If the test is not successful, do not rush to alter the mail server settings. Go to the site where you have your mailbox, enter it. And check if you have allowed access to mail for mail programs.



This completes the configuration of the main Outlook function. Everything should work.
For ease of use, you can specify in the settings to hide Outlook minimized. That is, when you minimize Outlook, it will be hidden in the tray (space by the clock) and will not hang on the taskbar. To do this, you need to start Outlook and click on the icon that appears in the tray with the right mouse button. And check the boxes as shown in the figure.


The safety of working in Microsoft Outlook 2003 and 2007 can only be guaranteed if it is installed on a computer running Windows XP SP3, Vista, 7, 8, 10. If the operating system version is lower Windows XP SP3, it is not safe to use it. We recommend that you install a newer version of your email client, such as Microsoft Outlook 2010, 2013 or 2016.

Configure via IMAP

via IMAP:

9. Go to the "Outgoing mail server" tab and check the box next to "The SMTP server requires authentication." Check the box "Same as incoming mail server".

10. For better protection of the data you send and receive with your email program, you need to enable encryption. To do this, go to the "Advanced" tab and select "SSL" in the drop-down lists opposite "IMAP server" and "SMTP server".

Make sure the IMAP server port is 993 and the SMTP server port is 465.

11. After all additional settings have been made, click "OK".

13. To make the list of folders in the mail program similar to the list of folders in your mailbox, right-click on the name of the newly created account and select "Refresh folder list".

14. Now you need to specify the folder in which all messages sent from the mail program will be saved. To do this, go to "Service" - "Setting up accounts ...", as in paragraph 1, select the newly created account and click "Change". In the window that appears, click "Other Settings" and go to the "Folders" tab. Check the box next to "Select an existing folder" and in the proposed list select the "Sent Items" folder, click "OK" - the account is configured.

Configure by protocol POP3

To make settings for the mail program Microsoft Outlook 2003/2007 via POP3:

1. In the top panel, in the "Service" menu, select "Account Settings ...";

2. In the window that appears, click "Create ...";

3. Check the box "Exchange Server, POP3, IMAP or HTML" and click "Next";

4. In the window that appears, check the box next to "Manually configure server settings or additional server types" and click "Next";

5. Check the box "Internet e-mail" and click "Next";

6. In the "User Information" section, enter the following information:

    • Enter name - the name that will be displayed in the "From:" field for all sent messages;
    • Email address - the name of your mailbox.

In the "Server Information" section, provide the following information:

    • Account type - POP3;
    • Incoming mail server - pop.mail.ru;
    • Outgoing mail server (SMTP) - smtp.mail.ru.

In the "Login" section, enter the following information:

    • User - the full name of your mailbox in the format [email protected] ;
    • Password - the current password for your mailbox.

7. Check the box next to "Remember password" if you want the mail program to remember the password for the mailbox and not ask for it every time you try to download mail.

8. Click the "More settings ..." button;

9. Go to the "Outgoing mail server" tab and check the box next to "The SMTP server requires authentication." Check the box next to "Same as incoming mail server".

10. For better protection of the data you send and receive with your email program, you can enable encryption. To do this, go to the "Advanced" tab and check the box next to "Require encrypted connection (SSL)", and in the drop-down list "Use the following type of encrypted connection" select "SSL".

Make sure the POP3 server port is 995 and the SMTP server port is 465.

11. If you want to leave messages downloaded by the mail program on the server, check the box next to "Leave a copy of messages on the server".

12. After all additional settings have been made, click "OK".

Change SSL settings

  2. Go to "Service", select "Account Settings".

  4. When "Create an account" opens, mark "Manually configure server settings or additional server types", then "Next".
  5. In the new window, select "E-mail", then in the "Internet e-mail settings" type the following: your name, which the recipient will see when he receives a letter from you, his mail address. In the required fields, specify pop.yandex.ru as incoming, smtp.yandex.ru as outgoing. In the "User" indicate your username on this provider. For example, if the address [email protected], then only the first part needs to be entered. Enter your own in the password line.
  6. In the "Internet e-mail settings" on the "Outgoing mail server" mark "SMTP server" and the bottom line "Similar to the server for incoming mail".
  7. Then in the "Advanced" select an encrypted connection and the function of saving a copy of the correspondence on the server.

Save with the "OK" button. Setting up Outlook for Yandex is complete.

Setting up for Mail.Ru

Mail.Ru, another leading company in the Russian segment of the Internet, like many others, started with just a simple email and search engine. Setting up Outlook for Mail.ru is not difficult. Follow the instructions below carefully. It doesn't take long to set up Outlook mail.

  1. The entry type is IMAP.
  2. In the incoming mail "Hostname" - imap.mail.ru, "User" - the full address of the personal mailbox. Enter the password in the required field.
  3. In outgoing mail everything is the same, smtp.mail.ru in the line "Hostname".
  4. In the "Additional settings" activate "Use SSL", in the "Server port" dial 993 - for incoming letters. For outgoing, change only the "Server port". You need to write 465.

Outlook Express

It is believed that Outlook Express is a kind of light version of the classic Outlook. This is partially true. They have one developer, and Express was shipped with the OS from Microsoft until 2003. With the release of Windows 7, distribution stopped.

Their differences are that the classic was included in the Microsoft Office suite, while Express was preinstalled in the operating system. The latter also lacks various additional functions. Setting up Outlook Express consists of the following steps:
