  • Set the algorithm by which the system will group messages into a particular folder.
  • Even if you create the wrong filter, don't worry. The system simply will not understand it, so it will continue to work according to its own algorithm.
  • You can select a filter by recipient name, company name, correspondence subject, term, address and other parameters.
  • After creating the algorithm, select the final sorting result. Messages of different subjects can be sent to different folders or deleted.
  • Advertising messages and spam can be immediately archived.

You and I (at least many of my readers) are copywriters, freelancers or bloggers: could we do without email (by the way, it would be interesting to conduct such an experiment)? It is unlikely that it would have succeeded. After all, mail is used by us for the following needs:

As you can see, email remains one of the tools a freelancer needs in his work. In general, I don't think that you need to be convinced of this, so let's move on to an overview of gmail.

Why exactly gmail.com email?

An ordinary user who does not send intelligence data by mail, as a rule, does not need to use the services of paid mail services. Their functionality does not fundamentally differ from the functionality of free counterparts, except for the absence of advertising and declaring the inviolability of correspondence. Therefore, I found it not very useful for my readers to review paid services. Free postal services are well known to everyone:

The first two services are well-known and loved in Russia, perhaps I'll write about them too. Hotmail, now MicroSoft's Outlook, is a pioneer in email, and Gmail is the leading free email service today.

Oddly enough, he has nothing to do with Gmail.com, although he also deals with email, namely the provision of paid services for forwarding email. This service has been operating since 2003, while gmail was launched by Google in April 2004. Keep in mind this incident and do not confuse it, these are completely different services.

So, let's take a look at the features of working with Gmail in order. Let's start from the beginning - with registration.

To be able to create a gmail mail, you need to have a Google account. Go to gmail.com. If you are not registered in Google, you will be transferred to the account registration service Google accounts.google.com and you will see the following picture:

There are no special mail accounts - Google uses a single account to access all of its services. Click "Create an account". We get to the page for filling out the registration form, it also allows you to simultaneously create mail on gmail com:

  • Name and surname. Your first and last name will be visible in all Google services, so consider whether it will be real data or a pseudonym.
  • Username. This is where an "ambush" can lie in wait for you: millions of users around the world have made out all the popular names and words, so you have to show your imagination. The username can contain Latin letters, numbers and dots, the number of characters is from 6 to 30. If the name is taken, the system will offer you free names according to your own weird taste:

  • Password. At least 8 characters. It is worth recalling the importance of a strong password once again: there should not be any 12345678, qwerty123, there should be no matches with the login. It is desirable that it be a random sequence of letters, numbers and symbols. Of course, the problem immediately appears - how not to forget it? Write it down on a paper notebook. An elementary action that few people do.
  • Date of birth, gender - understandable;
  • Mobile phone. You can leave it blank, but I advise you to do this - after all, it is with its help that you can recover your password if you do forget it, as well as set up two-step authorization (we'll talk about this a little later).
  • Alternate email address. It is also desirable to indicate. It is needed to provide additional security for the account, for example, in case of suspicious activity in the account, a corresponding notification will be sent to it.
  • Checkmark and Country - everything is clear here.

In addition, there is such a "trick" as two-step authentication. What it is? In order to enter your account, you will need to enter passwords twice: your permanent password and a confirmation code, which will be sent via SMS to the phone specified upon connection.

Why are such complications necessary? For example, if your mail (or other Google service) contains important, confidential or any other information not intended for prying eyes, it makes sense to do everything possible to protect it. Is not it?

By connecting two-step identification, you will be able to specify the devices, when entering from which the second step - entering the confirmation code - is not needed. This can be your home laptop, the loss or theft of which is almost impossible, or a work computer - in short, a reliable device:

In addition, you need to set up backup methods for logging into your account - in cases where the phone is unavailable for any reason:

There is one more thing. If you use any applications that access Google services (for example, an email client), then after you have connected two-step verification, these applications will no longer be able to log into your account. To solve this problem, Google has provided the ability to customize app passwords.

To do this, go to your account settings, section "Sign in to your Google account" - there we enabled two-step verification. You will see that one more menu line has been added - "Application Passwords":

Now let's go back to Gmail's mail. Let's enter the mailbox using one of the methods discussed above.

But still, let's see what settings can be made in the web interface to ensure a more comfortable work for ourselves.

First of all, I want incoming mail to be automatically classified and the specified actions performed with it - some letters should be placed in certain folders, others should be forwarded to other addresses, and others should be deleted. Let's dig in that direction and see how Gmail handles inboxes.

The settings button - "Gear" - is located in the upper right corner. Click it and go to the "Settings" menu item:

Let's see what methods of grouping and filtering incoming messages.

Sort by category

The simplest way to sort your incoming mail is by category. You may have noticed that the Inbox is divided into sections:

Gmail itself determines which letter corresponds to which category, and places it in the appropriate tab. If the message does not match any of the categories, it remains in the "Unsorted" section. Let's check all the boxes and see what changes:

These are the marks with which you can mark letters. If you have selected a set of four stars - by sequentially clicking on the star icon to the left of the letter header, you can choose how to mark it:

Shortcuts

There is a Shortcuts tool for sorting letters. Labels are similar to folders. To manage shortcuts, go to Gear - Settings - Shortcuts:

I have noted the correspondence between the active labels and their display on the left. You see, it's pretty easy to add or subtract items. You can also create shortcuts yourself, moreover, you can create a whole hierarchy of shortcuts:

I created a Job label, then another Job label, placing it under Job. Please note that the nested shortcut does not have the "Show in list" attribute, its visibility can be controlled from the left column by clicking on the icon next to the "Work" shortcut.

The created shortcuts can be deleted - this will not lead to the deletion of the messages to which it is assigned.

By clicking on the arrow that appears when you hover the mouse over the created shortcut, you can get to the context menu:

Here you can select the color of the label, as well as configure other parameters.

We can manually assign a label to a letter, and it will be displayed in the left menu when you click on the corresponding label. Let's put in practice:

Let's take one of the letters sent to us automatically from Google.

We see that now it is marked with the Inbox label. In the top menu there is an item "Labels" with which we can manage the labels of this letter.

Let's assign it "One More Job":

"Another work" I assigned the color blue; now we can observe this letter both in the Inbox and in Another work:

Thus, we can process the inbox and scatter them in different folders: in our example, we put letters from the main job in “Job”, letters from an additional job in “Another job”, you can create labels “Letters from mom”, “Letters from friends "and so on. But you must admit that it is not very convenient to manually "pierce" each incoming letter. Can this work be automated? Of course: filters are used for further work with correspondence.

Filters

What it is? Filters are actions that the mail system performs with letters that match some specified criteria. We get into the filter management through our favorite gear: Settings - Filters and blocked addresses.

Well, let's try to create some kind of mail processing rule?

Click "Create new filter":

You can see the criteria by which mail is sorted. You can fill in one field, you can fill in several - then there will be a complex condition. In this example, I want to make a filter that sends incoming emails containing the words "Work urgently" to the "Work" folder.

Let's mark two checkboxes: skip incoming - this means that a letter that meets the specified conditions will not be displayed in the Inbox folder, and apply a shortcut - indicate which one. As a result of the filter triggering, letters in which I am asked to "work urgently" should end up in the "Work" folder, bypassing the "Inbox".

Everything worked out. There is no letter in the Inbox, it immediately moved to Work. We have mastered another convenient Gmail tool.

Email Gmail definitely strives to become everything for its user: in the web interface, you can import contacts and all the accumulated mail from other email addresses, you can "bind" these addresses to the web interface and use them.

You can add more mailboxes by confirming with a password that they are yours.

  • Receive mail from other accounts. What is the difference between this function and what we just did? With the help of import, GMail picks up existing messages and contacts, and also sends new ones within a month - so that you can send notifications to your addressees about switching to a new mail, i.e. you seem to have decided to abandon the old mailboxes and completely move to Gmail. Receiving mail from other accounts implies that you are not abandoning them, you just work now exclusively in the Gmail web interface.

How to connect receiving mail from other accounts? There are two ways:

  1. receive old mail and connect to receive new one;
  2. configure only to receive new mail.

To receive all messages, you need to do the following:

If you want to configure the receipt of messages from a third-party mail service - check that access via the POP3 protocol is enabled in it, but if from another Google account - go to that account in the Gear menu - Settings - Forwarding and POP / IMAP and activate the "Enable POP for all emails ":

After that, go back to your current account and add the required mail account in the "Accounts and Import" tab.

The second way is to receive only new letters. To do this, you need to set up forwarding: in a third-party mail service - it depends on the settings of the corresponding service, in another Google account through Gear - Settings - Forwarding and POP / IMAP, click "Add forwarding address" and specify your new address.

So, back to the Accounts and Import section. We have come to the point

  • Using Gmail for work?

Google offers to connect business applications that help in business, of course, for an additional fee. These are corporate mail, additional GB in the cloud storage, the ability to share, and so on. I will not dwell on these applications, I will just mention that there are business solutions.

Next option:

  • Grant access to your account

You can give another Gmail user the ability to read, send, and delete mail on your behalf. In the event that a representative sends a letter on your behalf, the sender's address will indicate that the letter was sent by the representative. Such a function can be convenient in some cases - for example, when a secretary is in charge of the manager's mail, or when an employee leaves on vacation.

Well, the last thing we see on the Accounts and Import tab:

  • Increase mailbox volume

By default, when registering an account, a new Google user is provided with a mailbox volume of 15 GB. It should be borne in mind that this disk space is actually used not only for storing mail, but also for files that you post to Google Drive and Google Photos. It is clear that 15 GB may not be enough, in which case, for an additional fee, you can expand this space:

It may happen that you no longer need your Gmail inbox and need to delete it. How to do it? There are two ways to go:

But over time, all those goodies that Google tossed to users of its free email outweighed the negativity from invading their personal space. In short, we were bought. Sometimes it still comes to mind that this corporation is gradually becoming an "empire of good", and, moreover, how beautiful it all began (read in my presentation). However, back to our rams.

Let's talk now for security of working with your mailbox... I advise you to immediately get into the settings for this purpose (find the gear in the upper right area and select the Settings item from its context menu):

If you use any applications to read e-mail on your desktop computer or mobile phone (tablet), then after activating two-step authentication, these same applications will not be able to access your mailbox. What to do?

There is a way out and it is quite simple. You will need in the area "Application passwords"(see screenshot above - located on the Security & Login page) click on the spoiler. The page that opens will list applications that already have access to your GMail mail account (by the way, you can disable them if necessary).

And at the very bottom it will be possible to set a password for any application to access Jimail's mail (no matter whether it is mobile or stationary, for example, an email client).

First, select the Google application from the drop-down list, which you want to enter (mail, YouTube or other), then from the second list select the device from which you want to log in, and click on the "Create" button. As a result, you will receive a password for this application and instructions for its use:

Labels (folders) and their setting in Gmail

For sorting correspondence in Gmail are used labels and filters... The latter allow you to automatically scatter letters in different folders (shortcuts) according to specified criteria. The shortcut is, in fact, very close to the familiar concept of a folder, but it has wider possibilities. By default, Google offers you a specific set of shortcuts and folders, which are located in the left column. But we are free to customize everything to suit our needs.

How to create a shortcut in Google Mail

First, you will probably need to go to the settings (Gear - Settings) and on the second tab, by activating "yes" or "no", configure the display of the left menu items (some shortcuts can not only be disabled, but also deleted).

Removing an Inbox shortcut sends a letter to the archive, but it will still be available in other shortcuts it has (folders, in other words). And, of course, in the folder "All mail" you can always find them safe and sound. Okay, at first this is difficult to understand, but you can imagine all this shamanism as creating the folders you need in the future. There is a possibility if necessary, but this is a last resort.

It is clear that when reading messages you can manually assign them to one or another shortcut (in other words, put them in folders) using the button of the same name located at the top and its context menu. In fact, in this way, you can manually scatter letters from your mailbox to Jimail according to the folders you need and previously created. However, this is a dreary business and, if possible, I would like to automate the routine.

Filters in Jimile and a detailed example of their use

How to do it? With a second tool codenamed Google Mail filters... These miracle filters are available in the settings (from the gear menu) on the corresponding tab. There you will contemplate the filters you have already created (if any) and a link that allows you to create a new impeccable piece of unbreakable logic (called - Create a new filter).

In the window that opens, you need to enable logic and try to set an unambiguous algorithm by which Gmail will filter the correspondence you need. If someone has used desktop mail programs before, then there will be no problems with this.

If the filter doesn't work, you can always tweak it. You can filter, for example, by the subject of the letter, by specific terms found in it, by the address of the sender or recipient (if the message is forwarded to Jimail mail from your other mailbox).

At the next step, the wizard for creating a filter will offer you to assign the fate of those unfortunate letters that will be filtered in accordance with the algorithm you specified. For the above example with filtering mailings that came from the left mailbox, you need to check the boxes in accordance with the screenshot:

In addition to, in fact, a complete move with all the property to Jimale, this e-mail service will allow you to use all your mailboxes accumulated over a long time, and your opponents who will send messages to them will not even notice that you are no longer there live (replies to their letters will come with the same return address to which they wrote). It's actually a great thing that also works great.

Importing contacts to Jmail from your other mailboxes

All settings are made on the tab "Accounts and imports"... In the "Import mail and contacts" area, you need to click on the link shown in the screenshot:

Import from a huge number of postal services is supported, the list of which you can see on this page. In the first step, the wizard will ask you where Google will pick up contacts and messages, and in the second step you will be asked to enter the password for that mailbox.

After clicking the "Import" button, you will be notified that this is not a quick case. You can make sure that the process is complete in the Google mail settings according to the path indicated in the screenshot:

You can teach Google to drag chestnuts out of the fire (letters to Gmail from your other mail services), but the collection will be carried out not in real time, but occasionally with an interval of one hour. If it is the speed of collecting correspondence that is critical for you, then it is better do the opposite- go to the settings of those same third-party accounts and add to them the forwarding of all mail to Google.

Forwarding mail from other mailboxes to Jemile

Well, and probably also worth mentioning that in the Gmail settings on the tab Forwarding and POP / IMAP you can set the forwarding from your new Google mailbox of all incoming correspondence to your current main mail account.

And if you are used to using a desktop program to work with mail, you can, if necessary, disable the POP protocol and enable a more advanced IMAP to retrieve correspondence and read it on your computer.

Useful settings and Gmail lab

Among all the possible Gmail settings (Gear - Settings), we have not considered the "chat" tabs (which I do not use and do not know what to say about them), as well as the settings for enabling the smart mode of separating incoming messages into important and unimportant ones on the Inbox tab ", Well, the tab "Themes", where you can pull the skin that is most pleasing to your eye on the web interface:

Let's see if we have anything left out of focus on the "General" tab of the Jimale settings:

  1. Interface language - well, there's nothing to talk about.
  2. The maximum page size is the number of letters (chains, which, by the way, are an amazing invention of Google - all correspondence with the same user comes down to one chain, where you can recall the essence of the matter) and contacts (available from the drop-down list of the Gmail button located above the left list - I advise you to add photos to all your contacts in the settings or for chic).
  3. Chains of letters - you can turn off the wonderful function described just above, but, I assure you, not worth it.
  4. Keyboard shortcuts are disabled by default, but it is possible that permanent work with mail will become more convenient when you activate it. The list of hotkeys can be seen on this page.
  5. Desktop notifications - if you are working with Gmail from under Chrome, you can enable this function, and when fresh messages arrive, a pop-up window with information about this extraordinary event will appear in the lower right area of ​​the screen.
  6. Signature - if you don’t want to write at the end “Sincerely, Dmitry Petrovich!” Every time, then just fill it in once in the general settings and this template will be automatically inserted into all letters you send.
  7. Autoresponder - you probably received in response to your letters an almost instant response with general words (I am not here now, but I will definitely answer). This is the answering machine. These things just piss me off.

All other settings either have already been discussed by us above, or do not deserve to say something else about them. So, trifles, which, however, may seem useful to someone.

Lab and Advanced Settings at Jmail

Let's move on to the not yet touched upon, but nevertheless, probably the most interesting tab of Settings - Laboratory.

True, it is only present in the settings of the old interface, and in the new one a tab is placed instead. "Advanced"... Some of what could have been included in Labs is now available there (in a new interface).

But in the new interface there is still an opportunity on the "General" tab to put a tick in the "Enable access to experimental functions" field and after saving the settings, they, in theory, should appear on this very "General" tab. But I have not noticed any changes from the installation of this checkbox yet.

In general, Google mail was born in 2004 and was in beta stage right up to 2009. During this time, "Laboratory" has caught on and has become the main source of innovation in this by far the best online mail client.

I have repeatedly observed that additions from the "Lab" over time took place in the main settings. Apparently, Gmail, thus, rolls around new chips and makes a verdict on their implementation based on the collected statistics of their popularity (this is like a test browser, in which successful developments are then introduced into the main project -). Well done, what can I say.

But let's see what is interesting now being tested in the "laboratory", although if you read this article after a while, you will not find much there. I will only consider what I use in my account (please do not kick too much for this). So, what are the useful little things you can screw it to your inbox on Gmail.com:

  1. Unread message icon- a small but pleasant trifle. After activating this function, in the tab of your browser where Google mail is open, the number of newly arrived messages will be displayed. Probably, it will not be superfluous.

  2. View area- this cartoon seemed to me extremely convenient, because I am slowly switching to Gmail from the mail client integrated into the Opera, where everything is organized exactly that way. Now the window for viewing the list of messages can be pressed and the contents of the selected message can be viewed in the vacated area. Conveniently.
